Information you provide directly:
- Name and mobile number — collected when you place a booking or fill a contact form. Used to confirm your order and assign a mali.
- City and locality — to match you with a verified mali in your area.
- Garden preferences — style, size, sunlight, notes — used solely to generate your AI garden plan.
- Space photos — if you upload a photo for our AI garden visualisation, it is processed in real time and not stored permanently.
- Email address — if you contact us via the contact form or newsletter signup.
Information collected automatically:
- Usage data — pages visited, time spent, browser type, device type. Collected anonymously via standard web analytics.
- IP address — logged automatically by our servers for security and abuse prevention.
3. How We Use Your Information
We use the information we collect to:
- Process and fulfil your garden design, installation, or care plan booking
- Assign a verified mali to your order and coordinate scheduling
- Generate your personalised AI garden plan and visual
- Send you order status updates and booking confirmations
- Respond to your queries via contact form or email
- Improve our AI models, plant recommendations, and service quality
- Detect and prevent fraud or misuse of our platform
We do not use your data for unsolicited marketing without your consent.
4. Sharing of Information
We share your information only where necessary:
- Your assigned mali — receives your name, city, locality, booking date, and garden details to complete your installation or care visit.
- Razorpay — our payment processor. They handle all payment data under their own privacy policy. We do not store your card details.
- Firebase (Google) — our database and infrastructure provider. Order data is stored securely on Firebase Firestore.
- OpenAI — your garden preferences and space photos are sent to OpenAI's API solely to generate your AI garden plan and visual. OpenAI does not use API inputs to train their models.
- Twilio — used to send WhatsApp notifications for order updates. Your phone number is used solely for this purpose.
We do not sell, rent, or trade your personal information to any third party for marketing or commercial purposes.
5. Payments & Financial Data
All payments on ScapeAI are processed by Razorpay, a PCI-DSS compliant payment gateway. We never see or store your card number, CVV, or net banking credentials.
We retain a record of the transaction amount, order reference, and payment status (paid / unpaid) for accounting and order fulfilment purposes.
Token advance payments (₹499) are non-refundable if the booking is cancelled by the customer within 24 hours of the scheduled installation. Full amount bookings are covered by our 30-day money-back guarantee.
6. Cookies & Tracking
Our website uses minimal cookies required for the site to function correctly (e.g. session state). We do not use advertising cookies or third-party tracking pixels at this time.
You can disable cookies in your browser settings. This may affect some functionality of the booking flow.
7. Data Retention
We retain your order data (name, phone, city, booking details) for 3 years from the date of your last transaction, as required for financial record-keeping under Indian law.
Space photos uploaded for AI visualisation are not stored after the image is generated. They are processed in memory and discarded.
Contact form submissions are retained for up to 12 months or until the query is resolved, whichever is earlier.
You may request deletion of your data at any time by emailing us (see Section 12). We will comply within 30 days, except where retention is required by law.
8. Your Rights
You have the following rights over your personal data:
- Access — request a copy of the personal data we hold about you
- Correction — request correction of inaccurate data
- Deletion — request deletion of your data (subject to legal retention requirements)
- Portability — request your data in a structured, machine-readable format
- Objection — object to processing of your data for marketing purposes

We take reasonable technical and organisational measures to protect your data against unauthorised access, loss, or misuse. These include:

- Payment data handled exclusively by PCI-DSS compliant Razorpay
- Admin panel protected by token-based authentication

10. Children's Privacy
ScapeAI is not directed at children under 18 years of age. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it promptly.
